Departures Tab View

The Departures view shows all reservations with the Last night in the selected range (defaulting to yesterday and today, adjustable with the controls).  This view makes it easy to see who might be leaving today.  (Yesterday is shown as well as today, since those whose Last Night is yesterday will likely check out this morning.)  You can switch to this view when somebody checks out, quickly find their reservation and check them out of the system using the right-click menu.  If most of your customers pre-pay rather than checking out when they leave, you can use this report to get a list of people who should be leaving today, print it out and make the rounds to check to see if they have left as scheduled. You can then check them out to "close out" the reservation.


Note: The Options allow you to select Yesterday and Today besides just the Yes/Today button for quick date selection.  The initial dates shown on this tab default to Yes/Today if that's enabled, else Today if that's enabled, else Yesterday if that's enabled (if none of them are enabled, defaults back to Yes/Today).


There is a special control at the top, Pending Only, which when selected will limit the list to those who have not yet checked out (Owner-type reservations will also be excluded, since they don't indicate an actual departure).  This is handy for shrinking a large list to show who has not yet left the campground, or to show what sites still need to be checked for vacancy on the next rounds.  While the Name column is color-coded to show which reservations have been checked out, the Pending Only option is still useful if you are printing in black & white mode, and of course to reduce the length of the list.  Note that Day Passes will still be shown since they are assumed to be on site any time during the day (they don't "checked out").  They can be excluded by selecting "Assigned Sites" from the Site Types list.


There is an option (under the Options button) to include empty sites when sorting by Site.  This provides better visual feedback for "empty" sites and is especially useful for walk-around checking, but also makes the report longer.


Note that reservations on the Waiting List can also appear on this report (if this option is set under the Options button). These will be highlighted with * Waiting * in front of the customer name.  



Bulk check-out


The right-click menu of this tab has special "Auto check-out" functions that can be used to set the departing reservations to Checked Out.  Selecting one of these options will check out the reservations indicated, assuming they are "qualified" -- e.g. they must be currently checked in, their Paid-thru Date is set to their Last Night (or later) or not set, and they must have a zero reservation balance.  If the reservation has any Guest reservations, they must also have a zero balance and be due out on the host's last night or earlier, and the Guests will be automatically checked out also.


Auto-Checkout Today's Shown departures -- Selecting this option will check out only qualifying reservations currently shown on the Departures list, if their last night is equal to yesterday's date (i.e. departing today).


Auto-Checkout All of today's departures (shown or not) -- Selecting this option will check out ALL qualifying reservations with a last night equal to yesterday's date (i.e. departing today), regardless of whether they are currently shown on Departures (e.g. any filtering on the Departures tab is ignored).


Auto-Checkout All Shown departures (Any dates) -- Selecting this option will check out ALL qualifying reservations currently shown on the Departures list, regardless of their Last Night.  This can be used for example to catch up check-outs of older reservations, by setting the From date as far back as needed.  Note that the default operator access level required for this option is Manager.
