Linked Reservation Examples

Most of the time you will probably just use the basic linking methods, either making a group of Synchronized or Non-Synchronized reservations, or using Sub-member to split a reservation among different sites/dates.  Here are a few simple examples.

 

Synchronized Group creation (in New Reservation)

 

The assumption is that this is multiple sites rented by one person/entity, paid all at once, and they will all arrive and leave on the same dates.  There is no need to record individual names, etc. on each site.

 

Start by creating the reservation for the first site & dates, but stay in the New Reservation dialog.  Enter the customer information, etc. as needed.  So at this point you have everything ready to finish for one site (showing "<NEW>" in the grid) and would normally click Done or one of the options at the bottom to continue to the next step.  Instead, we want to add more sites:

 

1.Make sure the "Synchronize with" box is checked.
2.Add the next site (for instance use Quick-Pick or double-click in the grid as usual).  The new site will also show "<NEW>" in the grid, and it will be added to the "Site(s) added" list.
3.Repeat steps 1 and 2 to add as many sites as needed (don't forget to check "Sub-Synchronize with" each time).
4.Optionally select "Group" for the Resv Type.
5.Click Done or one of the other options to continue to the next step, and proceed as usual.

 

That's all there is to it.

 

 

Adding More Synchronized Sites

 

Let's say you need to add more sites (or forgot to stay in New Reservation to add the other sites).  It's easy to add more to the first reservation.

 

1.Go to Reservation Details for the first reservation.
2.Optionally select "Group" for the Resv Type (this must be done in Reservation Details since the reservation is already completed).
3.Click the "Add Sync'ed..." button.
4.Proceed as above for Synchronized Group, starting on step 1, just as it you never left New Reservation.

 

You can also use the right-click menu from most tab views to replace steps 1 and 3 -- right-click on the reservation of interest, select Linked Reservations, and then select Add Synchronized Reservations.

 

 

Non-Synchronized Group creation (in New Reservation)

 

The assumption here is that this is multiple sites rented by different people, so they all need separate billing (or you want them all to show separate Customer information).  They may have different dates or other settings, but you want to start them all with the same dates to make it easy.

 

Start by creating the reservation for the first site & dates, but stay in the New Reservation dialog.  Enter the first customer information, etc. as needed.  So at this point you have everything ready to finish for one site (showing "<NEW>" in the grid) and would normally click Done or one of the options at the bottom to continue to the next step.  Instead, we want to add more sites:

 

1.Uncheck both "Synchronize with" and "Sub-member of".
2.Add the next site (for instance use Quick-Pick or double-click in the grid as usual).  The new site will also show "<NEW>" in the grid, and it will be added to the "Site(s) added" list.
3.Uncheck both "Synchronize with" and "Sub-member of" again, and then select the next site.
4.Repeat step 4 as many times as needed to add more sites.  Don't forget to uncheck the linking options before each site is added.
5.Optionally select "Group" for the Resv Type.
6.Click Done or one of the other options to continue to the next step.
7.If they're making a single Deposit payment to be split among all of the sites, you can do that (see the note "Splitting the deposit among multiple reservations" in Payments and Deposits).

 

Now you have a group of non-synchronized reservations, but they're still all under the same name and same dates, etc. At some point you'll want to change the customer for each one, perhaps change the dates, change the number of people on each site, etc.  To do this you would simply go to Reservation Details for that particular reservation and make the necessary changes.  If changing the Customer, make sure you follow the correct "Changing to a different customer" procedures -- do not just go to Customer Details!

 

 

Adding more Non-Synchronized Sites.

 

The procedure for this is basically the same as for Adding Synchronized sites (above) -- just use "Add Non-sync'ed" instead of "Add Sync'ed" (or in the right-click menu, select Add Non-Synchronized Reservations.

 

 

Sub-member Set creation (in New Reservation)

 

The assumption is that this is multiple reservations for one person/entity, paid all at once, but they are for different dates -- or it may even be the same site each time but on different dates.

 

Note: This is also a good way to make a reservation that has to move in the middle of their stay (e.g. due to site conflicts).  However, it's recommended that the last part of the reservation (e.g. the latest dates) be made first.  That way the last part of the reservation is "active" until they leave.  Also see Splitting Reservations, which handles splitting the reservation after it's created.

 

Start by creating the reservation for the first site & dates, but stay in the New Reservation dialog.  Enter the customer information, etc. as needed.  So at this point you have everything ready to finish for one site (showing "<NEW>" in the grid) and would normally click Done or one of the options at the bottom to continue to the next step.  Instead, we want to add more sites:

 

1.Make sure the "Sub-member of" box is checked.
2.Select the First Night and Last Night for the 2nd reservation.
3.Add the site for the 2nd reservation (for instance use Quick-Pick or double-click in the grid as usual).  The new site will also show "<NEW>" in the grid, and it will be shown in the "Site(s) added" list.
4.Repeat steps 1 to 3 to adding as many sites as needed (don't forget to check "Sub-member of" each time).
5.Optionally select "Group" for the Resv Type.
6.Click Done or one of the other options to continue to the next step, and proceed as usual.

 

 

Adding More Sub-member Sites

 

The procedure for adding sub-members below an existing reservation is basically the same as for Adding Synchronized sites (above) -- just use "Add Sub" instead of "Add Sync'ed" (or in the right-click menu, select Add Sub-member Reservations.

 

 

Inserting a new reservation as a top-level "Linked Master" (version 11.0 or later)

 

Sometimes you want to make a new reservation linked to an existing one, but instead of making the new one a sub-member of the existing one, you want to reverse them so the new reservation is the Linked Master and the existing reservation is the sub-member.  The most common use for this is when someone needs to extend their stay but has to move to another site for the 2nd part, but there's no room to make the reservation long enough initially to perform the normal Split function.  Rather than make the "new" reservation the sub-member, it's best to make the old part be the sub-member -- this is recommended so that the latest part shows as the main site on receipts and carries the transactions, since it will be checked out later than the old part.

 

In prior versions this was very difficult, requiring a lot of manipulation of dates and sites.  A new function was added in version 11.0 to make this simple:

 

1. Locate the existing reservation on the Rack (or On Site, etc).

2. Right-click on it, select Linked Reservations, and then Add a New Linked Master reservation (making this its Sub-member).

3. The standard "New Reservation" dialog will open -- select the dates and then select the site for the new reservation as usual, and click Done.

 

The new reservation is created as the linked master, and the old one is a sub-member of the new one.  Note that any transactions that were on the original reservation will be moved to the new reservation automatically, and if you're using Auto-Rates then it may recalculate as needed to add the charges for the new reservation.
